Terms of Service & Operational Guidelines
Please read these Terms of Service carefully before utilizing AI Agent Desk. These terms govern user accounts, website domain registration, domain ownership verification, subscription billing through Paddle, and data retention policies.
Account Authentication & Usage
Access to AI Agent Desk is authenticated securely via verified Google Accounts (Gmail or Google Workspace) using Firebase Authentication. Users are responsible for maintaining the security of their Google credentials.
- Each customer account is associated with a single verified email address.
- Subscriptions and AI credit allocations apply across all website desks managed under your authenticated account.
- You may invite team members or connect multiple websites depending on your active plan tier.
Canonical Domain Uniqueness & Ownership Verification
To maintain service integrity and protect businesses against domain squatting, AI Agent Desk enforces a strict Canonical Domain Uniqueness Rule:
Sub-paths (e.g. domain.com/app or domain.com/shop) automatically resolve to the root canonical domain (domain.com) and cannot be claimed by multiple independent accounts.
If a domain is registered by a prior party, legitimate business owners may initiate a Domain Ownership Claim via:
Paste a unique verification tag into the <head> of your website homepage.
Add a verification TXT record to your DNS zone via Cloudflare, GoDaddy, or AWS Route53.
Subscriptions, Merchant of Record (Paddle) & 15-Day Grace Period
All payments, currency conversions, applicable sales taxes, and subscriptions are processed securely by Paddle.com as our Merchant of Record.
Subscriptions renew automatically on a monthly or annual interval. You may cancel renewal at any time directly through the platform billing drawer without penalties.
If payment fails upon billing renewal, our system automatically provides a 15-day grace period. Customer support chat, WhatsApp integrations, and document retrieval remain active during this period to prevent operational disruption while payment details are updated.
Domain Transfer, Data Privacy & 30-Day Auto-Purge Policy
When a domain ownership claim is successfully verified by a new domain owner, strict isolation protocols protect the outgoing party:
Past customer tickets, message transcripts, proprietary training documents, WhatsApp connection tokens, and custom API keys are never transferred to the new domain claimant. The incoming verified owner receives a completely pristine workspace.
After 30 days in archived dispute status, an automated system cron permanently purges all archived tickets, training documents, embeddings, and chat histories from cloud storage and databases. Purged data is completely unrecoverable.
AI Inferences & Human Escalation Safeguards
AI Agent Desk leverages Retrieval-Augmented Generation (RAG) strictly grounded in your provided documents. However, generative AI output should be periodically audited by human staff. When queries exceed knowledge confidence thresholds, the system automatically escalates to human support tickets.
